Readiness Gains Start at the Schedule

A service member enters the force duty-ready, and keeping that readiness takes steady attention. Assessments come due, clearances renew, and required care needs to be scheduled. The Department of War’s medical readiness teams do this work every day, and there is a clear opportunity to make it faster and more visible.

Where the opportunity is

The medical readiness pipeline runs on a case management ratio of roughly 25 to 1, with scheduling and care coordination handled largely through one-on-one outreach. Case managers carry that workload with real dedication. On average, a service member needs 3.4 interactions over several weeks to get an appointment on the calendar, which shows how much time manual coordination takes.

Data visibility offers a second opening. Readiness determinations are meant to reflect current status, but much of the underlying data is retrospective and aggregated, so a commander assessing deployability today may be looking at information that is months old. Near real-time visibility would let leaders anticipate risk, target interventions, and align medical readiness with sustaining lethality across the force.

What a modernized workflow makes possible

None of this requires changing the staffing ratio. A digitized, encounter-level workflow with self and facilitated scheduling, automated outreach, and rules-based digital intake changes what 25 to 1 can accomplish. Case managers spend less time on scheduling logistics and more time on the work that depends on their judgment: complex cases, line-of-duty determinations, and duty-limiting condition tracking.

Medical readiness is a direct input to lethality. Every day saved on scheduling is a day a service member can be training, cleared, and deployable. Every current data point gives leadership the visibility to make readiness decisions with confidence. Personal accountability gets stronger too. When service members can see their own readiness status directly, they take ownership of staying mission-ready, working alongside the case managers who support them.
